Dear Sir or Madam:
Dear Sir/Madam,

I am writing to you on behalf of a group planing to organise a technology enthusiast festival next year and we have seen the venue at <insert venue here> as a promising location.
We're a non-profit group planning a technology enthusiast festival next summer and we'd be interested in talking to you about your venue as a possible location.

The three-day event is provisionally around the August Bank Holiday next year (24-26th August 2012).
The event we're planning is along similar lines to a small camping music festival, with predominantly talks and workshops. We're initially looking at a capacity of between 500 and 1000 people (which would roughly mean an area between 4 and 10 acres), and dates of either the 24th-26th August or the 2nd-4th June next year. We're planning on applying for a license for both alcohol and public entertainment.

We are planning to have a maximum of 500 people, most of whom will be camping on the site. We will also erect several marquees for lectures, workshops and event management and infrastructure.
If this is something you'd be interested in hosting, we'd greatly appreciate it if you got in touch.

Also there would be need for evening entertainments and a licensed bar on site, for which we would be responsible for obtaining licences and any other legal requirements for a festival such as ours.

If this is something you would be interested in hosting please, or if you have any questions about our planned event, please can you contact us by either sending an email to <insert contact email> or by replying by writing to <insert address> or by calling <insert contact number>
